ABOUT THE JOB
We are looking for a Production Coordinator and Administrative Assistant to join our team in Liège. This hybrid role requires both production management and studio administration skills. You will be a key player in ensuring smooth production operations and efficient infrastructure management.
Responsibilities:
Production side:
- Support the production manager.
- Review, document, and share review notes with artists.
- Track each artist’s task list and monitor progress.
- Organize meetings and ensure smooth scheduling.
- Identify and resolve issues related to planning or workflow.
- Maintain a calm and efficient work environment.
Administrative side:
- Manage phone systems, redirect calls, and respond to information requests.
- Handle administrative management of documents, archives, and mail.
- Prepare contracts, complete onboarding files, and welcome newcomers.
- Act as a liaison with building management and maintenance providers.
- Manage office supplies and equipment inventory.
- Enter banking, HR, and other administrative data.
Required Skills:
- Experience: Minimum 3 years in a similar role in production coordination.
- Attention to detail and organization: Excellent time management and multitasking skills.
- Proficiency in Excel/Google Sheets: Ability to manage schedules and databases.
- Administrative and HR aptitude: Interest in administrative processes and personnel management.
- Interpersonal skills: Ability to communicate effectively with various personalities and work styles.
- Fluent in French.
Preferred Skills:
- Experience with production management tools (Kitsu, Shotgrid).
- Knowledge of the animation, film, or visual effects industry.
